Job Description: Business Operations Manager

Position Type

Full-time (This is a 5-day, on-site position located in our downtown Toronto, Ontario office, as we feel this is the best way to support your colleagues and become part of the SIGNAL team.  Occasional work from home days are granted to assist with the hecticness of life.)

 

Roles and Responsibilities:

  • Financial
    • Coordinate with SIGNAL’s accounting service provider to ensure timely account payables

    • Coordinate with SIGNAL’s brokers and underwriters to ensure timely account receivables

    • Coordinate with SIGNAL’s accounting service provider to produce monthly financial reports and annual and semi annual reports

    • Coordinate the timely issuance of our monthly statements of accounts to SIGNAL’s brokers

    • Maintain SIGNAL’s financial reports within InsureVue

    • Process all received cheques

  • Insurers

    • Produce and send monthly reports and bordereaux to SIGNAL’s insurer partners
    • Product and input into Lineage SIGNAL’s monthly upload

  • Brokers

    • Produce and send monthly reports as agreed upon with individual brokerages

    • Ensure compliance within our latest standards for new and current brokers
  • Human Resources

    • Manage the onboarding process of all new hires (benefits, hardware, software, etc)

    • Maintain employee files

    • Maintain employee vacation entitlements

    • Coordinate and conduct potential employee interviews, including job postings

    • Coordinate SIGNAL’s employee pension plan with the provider

    • Administer as allowed, SIGNAL’s health and dental plan with the provider

  • Compliance
    • Act as SIGNAL’s Chief Privacy Officer and the duties that this entails

    • Act as SIGNAL’s Complaints Manager and the duties that this entails, including adherence to insurer’s and Lloyd’s of London complaints procedures

    • Maintaining SIGNAL’s Conflict Registry

    • Coordinate with our insurer’s auditors or third party auditors when audits are conducted

    • Organize and ensure compliance with SIGNAL’s internal peer auditing process

  • Documentation

    • Manage the Compliance and Operations Manual

    • Manage the Employee Handbook

  • Marketing
    • Work with SIGNAL’s advertising partners to meet marketing plan for year

    • Coordinate SIGNAL’s social media marketing

    • Coordinate any other marketing to meet annual plan

  • Licensing, Memberships, Insurance, Providers

    • Ensure the renewal and compliance of SIGNAL’s licensing

    • Ensure the renewal of SIGNAL’s association memberships

    • Manage SIGNAL’s commercial insurance renewals

    • Manage SIGNAL’s various providers (mobile, office phone, landlord, legal, etc.)

  • Other office and operations based duties as may be necessary from time to time

 

Qualifications:

  • Personal qualities:

    • Personable

    • Excellent work ethic

  • Experience

    • Prior commercial insurance financial operations
  • Education

    • High school diploma (required), university degree or college certificate/diploma (preferred), or relevant work experience

  • Skills

    • Computer skills, including working knowledge of Microsoft Outlook, Word, and Excel

    • Strong professional communication, both written and verbal

    • Excellent customer service skills and business acumen

    • Strong critical thinking and analytical skills

    • Ability to problem-solve creatively and proactively
